The problem
The phone rings when nobody can answer: at lunchtime, after hours, when the whole team is busy at once. Every missed call is a customer who does not know whether anyone will call back, and many do not wait.
When calls are answered, there is rarely a record. Nobody knows what the customer was promised, who spoke with them last time or how many calls were missed last week. If the customer calls again, they have to start over.
Setting up a traditional call center is not simple either: it takes phones, people on shifts and a system that often does not connect to anything else the company uses.
What it does
A voice AI assistant is a program that answers the phone, understands what the caller says and replies out loud, using your business’s information. If the call needs a person, it passes it on.
This service builds on the voice AI and call center system I built at AI Solutions CR, where I work as a systems integration engineer. It runs on a real phone system: Asterisk, open-source software that handles a company’s calls (lines, extensions and transfers), connected to SIP lines, which are phone lines that travel over the internet. It is not a separate answering machine; it is the company’s phone.
What it includes:
- Three ways to answer. The AI answers directly; or it rings only for your team; or your team has a few seconds to pick up and, if nobody does, the AI takes it.
- Outbound calls by campaign. The AI can call a list of contacts, for example to confirm appointments or follow up.
- Transfer to a person. When needed, the AI passes the call to someone on the team, who gets a notice. It can go to the same agent who helped that customer before.
- A console in the browser. Your agents answer and place calls from the computer, with no desk phone.
- Recordings and analysis. Every call is recorded and analyzed, with a history for each contact.
- Users and permissions. An administrator sees and configures everything; an agent sees what they need to handle.
How it works
- Diagnosis. We look at how many calls you receive and make, what customers ask, when calls slip through and who handles what.
- Proposal. I show you which answering mode fits, what the AI will handle alone, when it transfers to a person and how your lines connect. You decide before we start.
- Build. I set up the phone system, the lines, the assistant and the console, and test with calls that mirror real cases from your business before going live.
- Launch. Your team starts taking calls from the browser, with support during the first days.
- Support. I listen to recordings, review where the AI fell short and adjust what is needed.
I work remotely with companies across Costa Rica. If your customers also message you a lot, the natural complement is a WhatsApp assistant: the platform I work on handles calls and messages with the same logic. More of my work is on the projects page.
Who it is for
It suits companies where the phone is still an important channel and calls are being missed or not recorded:
- Clinics and practices that book and confirm appointments by phone.
- Repair shops and technical service companies that get visit requests and quote requests.
- Hotels, lodges and tour operators that get calls after hours.
- Sales or collections teams that place many outbound calls.
- Companies with a call center that want to take repetitive calls off their human team.
It is not a good fit if you get few calls and handle them well yourself, or if your customers hardly call anymore and everything happens over messages; in that case it pays to start with WhatsApp. It is also not for calling people who never agreed to be contacted.
